How to Stop PO Time Out Functionality in Oracle Apps : Profile to Stop Time Out Functionality for Purchase Orders and Requisitions

 
PO timeout is the functionality available in the Oracle application approval workflow. When the Requester sent the PO for approval through workflow notification but approver did not respond for some days for this approval notification then timeout functionality of the system automatically forwards this approval Notification to the Next approver in the chain. We can set the days for the time out that from how many days the approval notification will be forward to the next approver.

PO Time Out functionality is not system Default we need to do some setups in the Workflow Builder to implement this Time out Functionality. In the Time out Functionality , We can also set the reminder to the Current Approver before  sending approval Notification to the Next approver.  Reminder helps to identify the current approver that this Notification is pending for your approval. So In this time Out Setups we can set the that how many Reminders we want to send to the current approver before forward this to next approver.

So this is all about the Time out Functionality in Oracle apps workflow. Now in case if you want to stop this PO time out functionality so that approval notification should not go to the next approver. So in this case what should we do now.

Either we will go to the Workflow Builder and remove all the Time Out setups but this is not an recommendable options. Oracle apps has given us some profile options to stop the Time Outs functionality for Purchase Orders and Requisitions.

The profile option PO: Allow Requisition Approval Forward Action is set to No.

When this profile is set to No, the approval process will use the simplified version of the Purchase Order and requisition approval notification which does not support timeouts.

We often gets an Issue of OAF web pages Timeouts in Oracle application. We are not working for few seconds in the application then automatically ,these OAF web pages got inactive and Timeout. Some time this creates an Issue when we are in the middle of the some thing in the OAF page. As per the Oracle Metalink note Doc ID 2142867.1 , We can control this thing in the OAF pages , to set some Profiles in the Oracle application. Here below I will share the Oracle recommended steps as per the Notes mentioned above to Increase the Timeouts of the OAF pages in Oracle apps. I will recommend to note this thing to perform in the Production directly. First do this in Test and confirm from Oracle Support too.
 
 

Steps to Increase the Timeouts of the OAF pages in Oracle apps

Step1:- First Set the Profile below (OAF Page Timeout Profile Option )
ICX: Session Timeout to 2700
After this Test the changes , If the OAF Pages Timeout Increased then it greats otherwise you need to perform these below steps.
Step2:- Please perform these steps first in Test Instance  and Confirm with Oracle Support too.

As per the Oracle Metalink Note Doc ID 2142867.1
1. Change the setting ICX: Session Timeout to 2700 seconds or 2700000 milliseconds in AutoConfig using (adconfig):
2. Change the value from 1800 to 2700 seconds for all these entries in the plan.xml files after taking a backup:

Step14:-
In the Edit , Under Layout , you have Four Sections
1.Graph Prompts: Drag and Drop the Report Column in this Area if you want to Create the Parameters for these Columns in the OTBI Graph Report. I
2.Bar Graph : Put that Column in this Area which will be shown as the Graph Bar (vertically)
3.Bar Group By :- Put that Column as per that You want to see the Data Horizontally.
4.Excluded :- Put that Column  which you don't want to see in the Report Output.

Step15:- In my Example , I have use the Supplier Column as a Graph Prompt.
Group By : Invoice Date.
Bars : Invoice Amount.
Excluded : Supplier number (Don't Need in this Report).

OTBI reports in Oracle Cloud is the new reporting tools. This helps to create the reports with only drag and drop option. We don't need SLQ Expertise for this to design and developed the reports. In OTBI , Oracle Cloud has provided many other features too. We can easily designs the graphical reports with the help of this tool. This tool helps to provide the graphical representation of the data. Graphical representation means that , We can create Bar graphs , PI chart and many other number of Graphical presentations of the Data. This Helps to design and provide the Business MIS reporting's too. Here below I will share the steps to Create Graphs in the OTBI Report

Step1:-Go to Tools and Reports and analytics.

Step4:- As Highlighted Below , Go to New ==> Analysis

Step5:- As below this is the Subject Area , We need to Carefully Select the Subject Area.
Oracle cloud has Created the Subject Areas as per the Module and Business Functions wise. In this Example , I Will show the Supplier Liability Month wise in the Graph Format So I will select the 'Payable Invoices - Transaction Real Time'.
This Subject area will show the AP invoices Information's.

Step6:-
As below this is the OTBI Designing Part. In the Left we are seeing the Folder and Subfolders.
Oracle Cloud has grouped the Invoices Information's as per the Folder Wise. So As per the Information's we need in the OTBI report , We need to go to that Desired Folder and Drag and Drop the Column under this Folder to Selected Columns area.

Step7:- Here below Under Supplier Folder , We have Drag and Drop the Supplier and Supplier Number Column in the Selected Columns.
 
 
 
Step8:- Now Under General Information's Folder , Drag and Drop the Invoice Amount and Invoice Date in the Subjected Area.

Step9:- As below , As such I need Only Month and Year from Invoice Date then , We need to do below changes to Convert Full Date to Month and Year.

Click on the * Icon ==> Column Properties

Step9:- Under Date Format
Select Override Default data Format.
Date Format : Custom
Custom Date Format : MM-YY

Step10:- To see the Output of the OTBI report , We need to Click on the Results Tab.

Step11:- Now in the Results Tab , first Delete all the Default Outputs as below.

Step11:-Now under Results , Go to Bar Highlighted Below and Select Graph and BI.

Step12:-

Now OTBI report will show the Default Graph Chart but this is not Right. We need to do many changes in this Output to show the Graph Information's as per Our Requirment.

In the last Post , We have learnt how to run the BIP reports from Oracle Spring board by creating the Link of the report in the Spring Board Icon. Please refer this post How to run reports from Spring Board Icon in Oracle Cloud for more details. In oracle Cloud , We can also control the report Icons of the Springboard as per the Roles. We can control that which roles can see this Icon In their Home Page in a Spring Board and which cannot. Here below I am sharing the Detail steps to Put this Security to Show the Reports Icon in the Oracle cloud Spring Board as per the Oracle roles security.

 Step5:- Here in the expression Code , I am using two roles which can only see this Report Icon. We need to separate the Roles with ",".

Step 10:- Create the Group Name with the Name of the Report.




Step 11:- Under the Group , Now we will create the Page. Click on the Create Page Entry.

 Step12:- Here Below we are creating the Page Entry under Group.
Give the Name as per your Report Name because that will show in the Spring Board Icon.

Show on Springboard should be "Yes" if you want to show this In the Springboard of the OAF Page.

Select Link Type ='Static URL' Because here we need to give the url of the BIP report.

In the Destination We need to give the URL of the BIP report. Here in the Step 13 , I will show the step to copy the URL of the BIP report.

 Step13:- Go to Navigator ==> Tools ==> Reports and Analytics

Step16:- Now Our Report will open , we just need to Copy the URL from the Browser.

As we copy for my Purchase Order Report.

Spring Board is an home page of the Oracle Cloud application. In the Spring Board , We have the Icons , for the Roles . As per our Roles assigned , System creates the Icons for that roles in the Oracle Home Page spring board. With the help of these Icon , We do access the different roles assigned to that user in Oracle cloud application. In the same way , We can run the BIP reports and OTBI reports from these Icons in the Home Page. Like Below these Icons are showing in the as per the Roles Assigned in the Cloud Home Page.
 
 
 
 

Setup to Run Reports from Spring Board Icon in Oracle Cloud

 
Step1:-  Click on the Upper Left side drop down list in the Cloud application Home Page where your User Name is showing with Sign.

Click on the  Manage Sandbox.



Step3:- Create new Sandbox by clicking on the '+' ICON.



Step6:- As below creating Sandbox to Run the BIP report from Spring Board Icon. Click on the Same and Close.




Step7:- Once the Sandbox has been created , Then we need to Active this Sandbox as below as Highlighted Below.



Step8:- Go to Navigator ==>  Configuration ==> Structure 
 
 


Step 9:- Click on the Create Option ==> Create Group.

Step8:- Follow the steps below to register the printer in Fusion BI Publisher. Before registering the printer in BI Publisher, please ensure that you can access the printer from internet using the printer URL


Enter the following required fields to setup the printer and click Apply

  1. Server Name - Enter a unique name. Example: Network Printer 1
  2. URI - Enter the Uniform Resource Identifier for the printer.  Example: ipp://fNetwork.printer.com/printers/.printer1
  3. Username – Username for client authentication to access the print server
  4. Password – Password for client authentication to access the print server.
  5. Authentication Type – Select ‘Basic’ or ‘Digest’ based on the type of client authentication enabled on the print server. NTLM is not supported

If you want to track the Workflow Notification status for all the users of the applications then you must go through this in detail. Like Status monitor in Oracle apps where we can track the status of each notification whether this is pending for approver or rejected or error out in the same way we can track the status of the notifications in the Oracle cloud too. We can find also find that Notifications is pending for which approver and from how many days. We can re assign or Suspend this notification too from the administrative roles in the Oracle Cloud. Step 1:-We need to go to the Home of the Oracle Cloud Notifications. Then In Oracle Home, We need to go to the Top of the Home page. Here we will have the Bell icon as highlighted below.

Click on the Notifications Subject and this will open the Page of the notification.

Period close exception report helps to provide the list of the Exceptions which prevent the system to close the Financial period. This report shoes the list of those transactions whose accounting is still pending for that financial Period which we are going to close. Period Close Exception Reports find these kinds of Transactions through GL date of the Transactions. With the Helps of GL date , Period Close Exception Report helps to find those Un clear transactions whose GL date entering in that Financial Period which we are going to close.
Period Close Exception Reports shows different kind of Transactions as below.
1.       Un accounted transactions whose accounting is still pending in the System.
2.       Accounted but not Post to GL.
Period Close Exception report helps to find all the Open Items which needs to be closed before closing the Accounting Period in Oracle application.

Unaccounted Transactions Sweep Program is uses in the Period Close Process. When we do the Period close process, we need to clear all the Un accounted transactions for that period to close that period in the Oracle System. We have two ways to clear these unaccounted transactions. Either we need to run the create accounting program to do the accounting of these transactions in the Current month or We can clear these transactions by running the Unaccounted Transactions Sweep Program which helps to transfers unaccounted transactions from one accounting period to another. The program re-dates all accounting dates of all unaccounted transactions to the first day of the open period you specify.
,if your accounting practices permit it, you might want to use this program to re-date transaction accounting dates to another open period. You can then close the accounting period from which Payables moved the invoices and payments.
 

When the Unaccounted Transactions Sweep Program completes, Payables automatically produces the Unaccounted Transactions Sweep Report, which lists transactions that were re-dated. The report displays the same data as the Unaccounted Transactions Report.

 2 Ways to submit the Unaccounted Transactions Sweep Program

1.       From Period Close Window.
2.       From Concurrent Request windows
 
From Period Close Window: -
In the Control Payables Periods window if you try to close a period that has exceptions then the system enables the Exceptions button.

Choose the Exceptions button in the Control Payables Periods window. Payables opens a message window. From the window you can choose the following Options as a Buttons.

Choose the Sweep button. Payables opens the Sweep to Period window. In the Sweep to Period field, Payables provides the next open period.
